Cancellation Policy​

Because Beyond The Ride commits to accommodations, bicycles, guides, transportation, and other local services in advance, all payments are non-refundable and non-transferable. If you cancel, you may be eligible for trip credit as described below.

How to cancel: to cancel, you must notify Beyond The Ride in writing. Email is acceptable. If we make an account-based cancellation or booking-management feature available on the website, a cancellation request submitted through that feature may also be accepted when confirmed by us. Your cancellation is effective on the date and time we receive your valid written notice or confirmed cancellation request.

Trip credit: 30 days or more before the departure date: You will receive 100% trip credit for amounts paid. The credit must be used within 12 months of the original departure date. Less than 30 days before the departure date: You will receive 50% trip credit for amounts paid. The credit must be used within 12 months of the original departure date.

Important details about trip credit:

  • Trip credit is not cash and cannot be refunded, exchanged, or transferred to another person.
  • Trip credit can be applied only to a future Beyond The Ride trip with available space.
  • Trip credit may be used one time only, and any unused portion is forfeited.
  • Trip credit does not cover airfare, personal hotels, visas, insurance, or any third-party costs or services not booked directly through Beyond The Ride.
  • If the price of the future trip is higher, you must pay the difference.
  • If the price of the future trip is lower, the unused balance is forfeited unless we agree otherwise in writing.

No-show and unused services: If you do not appear for the Trip without providing a valid written cancellation notice before departure, you will be treated as a no-show and no refund or trip credit will be issued. No refunds or credits will be given for unused portions of a Trip, including missed days, missed rides, unused accommodations, unused transportation, or early voluntary departure from the Trip.

Changes requested by you: Any request to change Trip dates, transfer to another scheduled departure, or move to another Beyond The Ride trip will be treated as a cancellation of the original booking and a rebooking, and this Cancellation Policy will apply unless we expressly agree otherwise in writing.

If Beyond The Ride cancels: if we cancel a trip before departure, you will receive 100% trip credit for amounts paid, except where applicable package travel law requires a cash refund or another mandatory remedy.

The credit must be used within 18 months of the original departure date. Beyond The Ride is not responsible for airfare, personal hotels, visas, insurance, or any other third- party costs or losses not booked directly through us.

Itinerary changes and force majeure: Trips operate in real-world conditions. Routes, schedules, accommodations, support plans, and included activities may be modified, delayed, shortened, or suspended due to weather, safety concerns, road conditions, operational needs, illness, government action, civil unrest, natural disasters, transportation disruptions, or other events outside our control. These changes do not create a right to a cash refund.

Any credit, if offered, will be determined in accordance with our Terms and Conditions and this Cancellation Policy.

Discretionary exceptions: in limited circumstances, Beyond The Ride may choose, in its sole discretion, to offer a goodwill credit, alternate dates, or another accommodation outside this policy. Any such exception is voluntary, applies only to the specific booking involved, and does not waive or modify this Cancellation Policy for any other booking or future situation.

Travel insurance: we strongly recommend travel insurance that covers trip cancellation, interruption, delay, and emergency medical events, including cycling and other adventure activities. Because our bookings are non-refundable, travel insurance is the best way to protect yourself against unexpected events.

Additional terms for residents of the European Union and the United Kingdom: If a booking is subject to applicable package travel laws of the European Union or the United Kingdom, this Cancellation Policy shall be interpreted and applied subject to the mandatory rights of the traveler under those laws. In particular, any provision of this Policy providing only trip credit, limiting refunds, or imposing cancellation charges shall not apply to the extent that applicable law requires a cash refund, limits the cancellation charge, permits termination without a termination fee, or otherwise grants the traveler a non-waivable remedy.
